Mental Health First Aid Instructor Portal

Thank you for agreeing to instruct with WellPower. This will be your landing page for guidelines and information on how the MHFA Instructor program works. These guidelines are intended to provide the best experience for participants, as well as high quality support for instructors. If you can’t find what you need on this page, or if you have any questions, contact the Mental Health First Aid coordinator, Jasmine Breeden, at mentalhealthfirstaid@wellpower.org.

The coordinator is responsible for:

  • Setting up classes 
  • Providing information and contacts for the class  
  • Administrative duties for course and participants 
  • Scheduling instructors for classes 
  • Arranging for in-person class materials 
  • Submitting invoices for payment 
  • Support for instructors 

Teaching & Fidelity Guidelines

  • We schedule two instructors per class whenever possible.
  • New instructors are supported by one of our more seasoned instructors .
  • Co-instructors must have a brief coordination check-in prior to the class being taught.
  • The expectation is that instructors must attend the entire class. If there is a need to step away from the class for any period more than 15 minutes, please contact the coordinator to receive approval to continue to teach the class.
  • As an instructor, you are expected to uphold the fidelity requirements for the MHFA programming set by the National Council.   
  • You can always loop in the coordinator if we need to work with someone during class, but as an instructor, you determine if someone has met the requirements for certification. 
  • To help you stay up to date with changes to the WellPower Instructor program, the coordinator schedules optional quarterly check-ins.
  • Please communicate any changes or information with the coordinator such as: 
    • Accommodations needed
    • No longer being able teach the class  

The coordinator is appreciative of constructive feedback, so please share anything that would be beneficial to the program going forward.  

Scheduling Guidelines

  • The classes assigned on a first come, first served basis, but the coordinator does attempt to rotate classes to provide opportunities for a variety of instructors.
  • Class times are usually scheduled as followed but can differ:
    • Full In-Person: 8:00 a.m. to 5:00 p.m.
    • Blended: 9:30 a.m. to 4:00 p.m. 
  • Available classes are shared by email monthly. Information shared includes:
    • Type of class: Adult, Youth or Teen 
    • Location: Virtual or In-Person with address 
    • Organization 
    • Time of class 
  • The coordinator will send a course reminder and confirmation email to each instructor at the beginning of the month which includes course information and a reminder to hold a coordination check in for co-instructors.  
  • In-person class material is provided in a convenient travel case. One of the instructors will be responsible for arranging a time with the coordinator to pick up as well as for returning it, as well as sharing what needs to be restocked.

Contracting & Vendor Registration

All external instructors MUST complete an independent contractor agreement and register as a vendor with WellPower. To initiate the contract and vendor registration process, the instructor must provide the following information to the MHFA Coordinator:

Legal Name(Required)
Preferred Name (if applicable)
Address(Required)

Within 30 days we will process your information and you will receive the independent contractor agreement for electronic signature and request from WellPower for additional vendor information to include: 

  • Social Security Number 
  • W-9 
  • Payment preferences (note, for direct deposit a Routing number and Account number are required)
  • Other tax information 

Please allow up to 30 days for the contract and vendor registration to process.

Invoicing & Payment

Once the vendor registration is processed and the independent contractor agreement is signed, you will be able to sign up to teach courses on behalf of WellPower and begin invoicing.

Class rates:

  • $250 per class that is taught with a co-instructor
  • $450 per class taught solo  

Instructors submit one invoice per month by the last day of the month, and payments will be received within 30 days of invoice approval.

Payment Schedule Example:  

  • Joe submits invoice by September 30 (typically in the last week of the month)
  • Invoice approval occurs by September 30 (even if the invoice is submitted sooner)
  • Joe receives payment by October 31
  • If Joe has any issues with payment, Joe will contact the coordinator after October 31

Invoices must be submitted through the Coupa portal or may be sent by email to invoices@mhcd.coupahost.com

The following information is required on every invoice: 

  • Legal Name/Business Name  
  • Address 
  • Invoice number (you determine this number)
  • PO Number (provided by WellPower)
  • Class date(s) (you may include all classes for the month
  • Billing amount for each class 
  • Total   
  • Payment instructions (include routing number and account number for ACH)
